What the advanced workflow does
An advanced workflow connects a Produce template to an approval project in Plan. Documents created from the template follow that project. Produce shows the document status, and the review itself happens in Plan.
Requirements
- Produce and Plan Approval projects in your Papirfly license
- Admin access rights to manage templates in Produce
- An approval project in Plan to connect the template to
Connect a template to a Plan project
- In Produce, open Templates and select the template.
- In the template panel, select the ... button, then Settings.
- Open the Workflows tab and select Advanced.
- Select Select project, choose your Plan approval project (the dialog has a Central and a Local tab) and select Confirm.
- Select Save. Produce confirms with "Template updated successfully".
You cannot change a template's workflow while one of its documents is in an active review. Produce shows an error saying the project is used by documents in active review. Change the workflow once those reviews have finished.
Send a document for review
- In Produce, open Documents and select your document.
- At the top of the document panel, select Approval.
- Select Request review. Produce confirms with "Review requested in the associated Plan project."
The menu explains that the document follows the workflow and approval process of the connected Plan project. The five states (In progress, Pending review, Needs change, Rejected and Ready) are shown greyed out, because you cannot pick them yourself.
Follow the review
After you request a review, the document is Pending review and Edit changes to View. Share and Download all stay switched off while the document is In progress or Pending review.
To open the review, select Approval, then Show review in Plan.
