Shared Collections are a convenient way to share assets both internally and externally across the Papirfly suite. Whether you’re distributing campaign assets, collaborating with partners, or sharing files with team members, Shared Collections make it easy to package and send assets from any archive.
What are Shared Collections?
Shared Collections are temporary or ongoing groups of assets that can be shared via email or direct link. They work across all archives in the Papirfly suite and can be accessed from the toolbar in any product.
Shared Collections are ideal for:
- Sharing assets with external agencies or partners
- Collaborating with internal teams
- Distributing temporary files that don’t need to remain in your approved archives
How Shared Collections Work
Access & Visibility
- Accessible from the toolbar across all products in the Papirfly platform.
- Admins can view all collections created across the platform.
- Users will only see collections they’ve created.
Sharing Options
- Send via Email: You can send a Shared Collection directly to an email address, with an optional message.
- Get Link: Prefer to send a link via Teams, Slack, or other platforms? Just generate a direct shareable link from the collection.
Email Tracking
For improved visibility and control, you can track which email addresses a collection has been sent to. This tracking helps maintain oversight of externally shared assets and supports platform security. (Note: tracking currently only applies to email sends.)
Expiry & Auto-Delete
All collections include an expiry date to control how long the content remains accessible. A colour-coded expiry column helps you easily identify which collections are still active and which have expired.
Auto-Delete (My Assets Only)
If you’re sharing files from the My Assets archive, you can choose to automatically delete the assets once the collection expires. This is a great option for files meant for temporary use or one-off sharing. Auto-delete is not available for assets stored in approved or general archives.
