A Produce template can be connected to more than one approval project in Plan. One template then serves several teams or markets, and the person who creates a document picks which project reviews it when they request the review. This article shows how to connect the projects and what the document owner sees.
Connect the template to the projects
- In Produce, open Templates and hover over the template. Click the three dots in the corner of the card and choose Settings.
- Open the Workflows tab and choose Advanced. Produce describes it as "Documents created from this Template will use the Advanced Workflow as defined in the associated project in Plan. The entire approval process will be facilitated by Plan."
- Click Select project.
- The Select project in Plan dialog lists your Produce approval projects on two tabs, Central and Local, with a count on each. Tick every project the template should feed, then click Confirm.
- The chosen projects are listed under Projects, each marked Central or Local. You can change the list later with Select project and Remove all. Click Save. Produce confirms with "Template updated successfully".
The projects themselves are created in Plan. See Creating an approval project in Plan.
Pick the project when requesting a review
When someone creates a document from the template and is ready for review, they open the document in Documents, click Approval and then Request review. The panel notes that the advanced workflow is enabled and that the document follows the approval process from the associated Plan project.
Because the template is connected to more than one project, Produce first asks which one to use. In Review settings, open Select approval project, pick a project from the list (grouped into Central and Local) and click Continue.
The document changes to Pending review in Produce and appears in the chosen project in Plan, where the review runs as usual. Once it is approved in Plan, the document shows as Ready in Produce.
