Introduction
Approval Project Removal allows administrators to safely delete projects that are no longer needed. The feature ensures that no active approval processes are disrupted while maintaining integrity across related assets, documents, and templates.
This helps keep your approval environment clean and relevant without risking ongoing workflows.
How it works
Removal conditions
A project CAN be removed if:
All linked materials are in:
Approved or
Rejected state
Materials in Produce draft (in progress) do NOT block removal
A project CAN'T be removed if:
Any material is in:
Pending review
Needs changes
In these cases:
Removal option is disabled
A clear explanation is displayed
What happens after removal
On Place assets
Approved/Rejected assets remain unchanged
References to the removed project are removed
On Produce documents
Approved/Rejected documents remain accessible
In-progress documents remain editable
When requesting approval later:
Only active projects are available
Removed projects never appear again
On Produce templates
If linked to multiple projects:
Removed project is simply detached
Remaining projects stay available
If linked to only one project (the removed one):
Template is automatically switched to No workflow state
