Introduction
The View & Manage Users in Groups feature enhances the existing User Management experience in the Papirfly Platform by bringing full visibility and control of user-group relationships into one unified interface.
Previously, administrators had to manage group membership through individual user profiles or external tools, which made the process time-consuming and inefficient, especially at scale.
With this update, admins can now seamlessly view users, manage group assignments, and update user details directly within the platform. All changes are reflected instantly, ensuring consistency across the UI, backend, and identity systems.
How it works
Users interface
User management is available under System Settings tab in the application toolbar. Only users with corresponding permission can access the settings.
Filters & Search
Admins can easily locate users using advanced filtering and search:
- Filters include:
- Status (Active / Inactive)
- Units (organized by type such as Country or Region)
- Groups (only active groups with users appear first)
- Logic:
- OR logic within the same filter category
- AND logic across different categories
- Search fields:
- Username
- First name
- Last name
Users list
The user overview provides a structured list with key details:
- Username
- Status
- User ID
- Number of assigned groups
- Number of assigned units
Admins can:
- Select users individually or in bulk
- Perform bulk actions:
- Activate users
- Inactivate users
User actions
- Create user
Reuses the existing “New user” modal within User Management - Edit user
Available from the user detail view (only editable fields can be changed) - Inactivate user
Prevents login by switching status to inactive - Assume user
Allows impersonation (available only to users with SiteAdmin privilege)
User detail view
Each user profile includes:
- Personal details (name, email, additional fields)
- Status and registration info
- Group memberships
- Assigned business units
Admins can directly:
- Add the user to groups
- Remove the user from groups
Pending approvals
Admins can review and approve new user requests directly within the User Management interface. This functionality is integrated from the existing system into the new UI.
Groups interface
Groups list
Displays all groups with:
- Group name
- Number of assigned users
Search
Admins can search groups by name.
Group detail
Selecting a group shows all users assigned to it.
This view mirrors the Users list but is filtered to the selected group.
Group actions
Admins can manage memberships directly within the group:
- Add multiple users via a modal
- Remove users from the group
What this means for you
This feature significantly reduces administrative effort by:
- Centralizing user and group management
- Enabling faster bulk operations
- Providing real-time data consistency
- Improving visibility across the organization
Admins can now manage users and groups more efficiently, accurately, and with full control, all from one place.
