A template is the starting point your users create documents from. You build it from a stencil, adjust the design, decide who can use it and then publish it. This article walks you through each step.
You need permission to create templates. If you don't see New Template on the Templates page, ask your Papirfly administrator for access.
Name the template and pick a stencil
- In Produce, select Templates in the menu on the left.
- Click New Template in the top right corner.
- Enter a Name for the template. It must be at least 3 characters long. A description is optional.
- Go to Design. Keep Stencil selected, click Select, choose a stencil and click Confirm.
- Click Save draft. You need to save the template before you can customize it.

Customize the design
What you set up here becomes the starting point for every document created from the template. You can come back and change it later.
- On the Design tab, click Customize. The editor opens.
- Make the changes you want every new document to start from.
- Click Save on the right, then Save and close, and go back to the Template settings window.
Choose who can use it and publish
When you create a template, only you have access to it. Before you publish, go to Permissions and add the users, user groups or business units who should use it. Give them Edit access so they can create documents. Read more about template permissions.
The other tabs are optional:
- Thumbnail: choose the template thumbnail.
- Workflows: choose whether documents need approval before they can be used.
- Folders, Tags and Categories: help users find the template. Read more about tags and categories.
When you're ready, click Publish. Nobody can create documents from a template while it is a draft. Once it is published, the template shows on the Templates page and New document becomes available.
