Place - Assets approvals with Plan Approvals

Introduction

The Asset Approvals feature in Papirfly Place and Point ensures that all assets uploaded into linked archives go through a proper approval process using Plan Approvals. This guarantees that every asset meets regulatory standards and aligns with brand guidelines before being used in Place.

Requirements

• You need to have Place and Plan Approvals for this feature to be available
• A specific Place archive needs to be connected to a specific Plan Approvals project

Using asset approvals in Place with Plan Approvals

To use asset approvals in Place together with Plan Approvals, you first need to create and define an approval workflow that suits your needs in Plan Approvals. As soon as you have done this, follow these steps:

1. Select the Place archive in the Plan Approvals project that you created (as described above)
2. As soon as this is done, the Place archive will be marked as Connected to Plan as seen in the screenshot below.

   • You can see which Approval projects are connected to the Place archive by clicking the button Connected to Plan
     
3. Upload an asset to the Place archive, and it will automatically go through the approval process that has previously been set up in the chosen Plan Approvals project.
4. Assets awaiting approval will be in a 'read only' state in place until it is approved

5. Users will now be notified that uploads require approval within the Place interface

Please note:

• You can set up multiple approval projects per archive, allowing users to select the appropriate workflow depending on the asset type or team.

• Note: Some user groups, like Administrators, can be exempt from the approval process via site administration settings.

Using asset approvals in Point with Plan Approvals

The process of using asset approvals with Plan in Point is the same as with Place (as described above).

The only difference is that instead of being in Place when uploading, you will instead be using a Place viewer in Point to upload the assets.

As soon as an asset has been uploaded to the Place viewer in Point, it will go through the approval process that has been defined for the Plan Approval project selected for the Place archive.
