You can now enable a "request access" link in the login dialogue, creating a user in stand by mode. Company admins will be alerted and can take action to Accept or Reject this user. Once the user is configured to the correct user groups (and other info) the user will receive a welcome email with a link for him to set a password of his choice.
Activating the feature
- Navigate to Login Screen settings via the user settings menu, and click on “Username & Password login”:
- In here the setting “Allow registration” is added and it needs to be toggled ON to enable the option in the login screen:
- Once toggled ON, more settings are shown as shown below to select which admin user email that will receive the emails when a user has requested for access. Default is the “Support admin” from Site Admin (shown in read only as it cannot be edited from here) and the second option is “Custom” where you can add any other email, one or multiple.
- Next is the option to chose a custom text that you want to display in the Login Screen itself, where “Text” is the static text shown and “Action text” is the actual link that the user will click to get to the Request Access form:
See example on how this can look below:
- Once a user has clicked this link in the Login Screen they will be navigated to a new screen with a short form consisting of fields to fill, and then click on “Send request”:
- After they have clicked they will see this screen:
Approval settings for these requests
The company admin that has been added as a receiver of the emails with get a new email once a user has requested for access:
The company admin can find all new requests in the new UI found in “User admin” menu option. This will list all new requests for review and the admin can chose to either “Approve” or “Reject” the new user.
Approve user
When clicking on “Approve” a new dialog will open where the admin can assign Business Units and User roles to the new user. (Note that only companies that have Business Units used (via Unit Manager setup) will see this option):
After clicking “Continue” the admin will see a summary of the selected groups before finally clicking on “Confirm” (or go back to previous step in case some adjustments are needed):
The user will after this get a new email stating that they need to update their password.
Reject user
If the admin choses to Reject the user instead, they will get a dialog opened where they may enter the reason for rejecting the user (this will be seen in the email sent back to the user):
The user will receive an email as shown below:
