This is an end user guide. I will describe how you do your first base video creation. You should need no prior knowledge, but being somewhat familiar with video editing is a bonus.
Every template differs in what options are available and what you as a user are allowed to do in them. This guide will go over typical general functionality, but your templates may differ. For specific guidance, please reach out to "local marketing", your local "IT help desk" or who ever owns and manages the Papirfly platform for your organization.
The number of options available to you depends on how much has been enabled. Certain brands are quite open while other brands are much more locked in, meaning users will get fewer options and less freedom to make changes.
Prerequisites:
- You need access to the templating tool. If you look in the top left corner at the product selector, you can see if you have access to "Produce"
- You need access to one or more video templates
Terminology:
Certain words are used to describe items in the Produce application. Please familiarize yourself with this list so its easier to follow the guide.
- Template: A "create your own document" where you fill in certain details, maybe add images or videos. As an end result, you get a finished creative asset which you may download or send to vendor.
- Document: When you use a template, the end result you receive is something we call a "document". This may be confusing since in this case, we are working with videos etc. Just keep in mind that in Produce, a document refers to your finished creative asset.
Where do I find these templates?
There are two ways to find templates.
How to find templates in Point:
Navigate the pages in your platform. Typically templates appear inside "create your own" sections or may be published as resources under campaigns etc. For the exact location of templates in your platform, please go exploring or contact the platform managers in your organization.
Find the template you wish to use and click on it.
An overview appears on your screen. Click "new document" in the top right corner to start creating your video
How to find templates in the Produce application.
- In the top left corner you have the product selector. Click on Produce to open the Produce application.
What you see in this first view depend on your platforms specific setup, but if you click on the "templates" button, you go to the filter view, you may search and filter down to specific content.
Click apply filters and now you see the videos available to you.
Click on the preview to see the details and any previously created documents, then click new document to open and start using the template.
Okey so now we have a template open. What do I do?
The examples I show and the templates you have available may differ. Make sure to reach out to your local system managers if you have questions around your templates. I will go over some general actions and steps to help you understand how things are displayed and the general actions available.
There are three primary zones in the editor.
- The preview window. Top left is the video you are creating. Changes you do will display directly there immediately so you know exactly what you are creating and what you will receive once you are done. Directly under the player window you have some play and control buttons (play, forward, backward etc).
- On the right hand side you have options and selections. Typically these contain options for color choices, image selections or style of the video or parts of the video. It also may contain options for what type of video you receive, the size of it etc.
- At the bottom you have the timeline editor. Here you may adjust items, add items (if permitted) and make changes. Each box inside the timeline represents an element. Each element may be clicked and additional settings may appear on the right hand side.
Let's get to it:
In the timeline view there are usually several items (clips) which are put together to compose a video.
- Items with a lock indicates that you may not alter anything
- Items that are gray and crossed out indicates that you should add content to this item.
In our example we will go over only available items in this timeline and focus on base settings.
You may see that our first element is locked. That indicates that you may not make changes to it. In this case it is required to keep the base start and end to the video so it is branded correctly. (If you have questions around locked elements, please contact your system manager)
If I click on the second element, I see that it has some additional settings I may use. In this case it allows me to change the color of the background of that clip.
The next element is they grey one. Clicking it askes requires to provide a file.
On the right hand side appears a new button: "select". Clicking this will open a popup where you may provide or select files to be used.
Document videos: If enabled, you may upload your own files which are used in the template.
My assets: If enabled, you may have your own storage for files in the dam which may be used in the template.
Other tabs: Different archives, dams, storages etc. Depending on your platform and configurations of this template, you may have one or more of these options.
Click on a file and it will be applied to that clip in the timeline.
For your information:
The template may have several items already in the timeline or it may be empty. If you look to the left, you may see a plus symbol "+". Clicking this will show you additional items you may add to the timeline like transitions, audio, premade clips, blocks you may use on top of your videos etc. Contact your platform managers for more information.
We have now finished our edits and I want my file:
In the top right corner you find the save icon. It will indicate that you have unsaved changes.
Clicking the save symbol will open a small window. Give your document a name and click save OR save and close to store your current changes. You have now created your "document".
Once you have saved, it is safe to close the window.
Where to find my document:
There are several ways to find your documents.
If the template is published in Point, clicking the template again, it will display your documents immediately.
If you are inside the Produce application, you may either click the template again to see the documents or you may go to the documents tab to filter trough all your documents (and possibly the documents others have made, depending how your platform is set up).
The video may take some time to generate since it is doing quite a lot of processing. Come back a little bit later and check on your file to see if it has updated. It typically takes something between 2 and 10 minutes to generate. You do not need to wait on this screen for the file to generate. Come back later and check.
Once it is generated, clicking on the document will allow you to download the file.
Questions and answers:
- Who decides what I am allowed to do or not?
- The system managers, local marketing or agencies who design these in your platform often has done research to figure out what options are needed and making sure the templates follow the brand guidelines closely. - Who sees my created documents?
- This depends on your platform setup. if you go to the documents tab, you may be able to filter on "business units" or other filters. Generally, if you do not see other peoples material and don't have any filters, it is relatively safe to assume your documents are private and visible only to you and the system managers. - Why do templates differ so much?
- Templates are tailored and customized project files which are made to suit your organization specifically. To avoid redundancy and confusion, unneeded options are often hidden, locked or simplified. This makes the above guide only an example of how to work with a video template, not necessarily how yours work specifically. Look for or ask for documentation in your platform as there may be some specific guidance available.
