The My Assets Archive is a personal digital asset archive that allows users to store and manage their own assets within Place. It provides a structured, secure space for employees to keep their work files while ensuring organizations maintain oversight and governance over stored content.
Instead of saving files on desktops or external drives, employees can securely manage their assets within the DAM, promoting efficiency and compliance.
Key Benefits
- Secure & Centralized Storage: Keep work-related files safe within your organization’s digital asset management system.
- Easy Access: Employees have a structured space to manage their own assets.
- Full Admin Oversight: Administrators can monitor, control, and set approval workflows for uploaded assets.
- Integration with Papirfly Suite: Works seamlessly with Produce and Plan for streamlined workflows.
How to Activate My Assets Archive
To enable the My Assets Archive for your organization, speak to your Customer Success Manager (CSM) or account manager. Once activated, the archive will be available for users based on assigned permissions.
When activated:
- A My Assets Archive is created.
- Necessary user groups and permissions are set up.
- The My Assets option appears in the toolbar for authorized users.
Secure File Storage & Sharing with Shared Collections
When combined with the Shared Collections application, the My Assets Archive can also be used as a secure file-sharing solution. This allows users to store, manage, and share files with colleagues or teams while maintaining full control over access and permissions.
However, we recommend moving final or approved assets into a shared archive for long-term access and governance.
With Shared Collections, users can:
- Share selected assets securely with specific users or groups.
- Control who can view or download shared assets.
- Ensure compliance and governance by keeping all files within Papirfly’s controlled environment.
This setup provides a cost-effective, compliant alternative to external file-sharing platforms, ensuring that all shared assets remain within your organization’s secure ecosystem.
Auto-delete setting
Through Place Settings*, Admins can choose to enable an Auto-Delete setting for the My Assets archive. When enabled, any asset that has been removed by the user will be automatically and permanently deleted after 30 days.
This helps prevent unnecessary storage build-up and reduces manual cleanup. During the 30-day window, users can still restore deleted items if needed.
