Produce - Send Assets to Vendors

Introduction

Asset Vendors allows users to send approved assets to predefined recipients, set in advance by admin users. Unlike the "Send Assets by Email" feature, users don't need to manually enter recipient details, making the process quicker and more streamlined.

Requirements

• In order to manage vendor you need to have sufficient access right, most often also referred to as Administrator rights

Activating the feature 

To add Vendors to Produce, follow these steps: 

1. Go to Produce
2. Click Settings in the upper right corner (you need to have sufficient access for this button to appear)
3. Click on Vendors

4. Click on + Create new as seen below
   • 
   • A new window will open that looks like this:
   • 
5. Add the following information about the vendor in the new window:
   1. Name - Name of the vendor
   2. Email - Email address of the vendor
   3. Type - The type of documents that the users can send to the vendor
   4. Instructions for sending - Add any specific instructions that the sender (user) needs to be aware of before using this vendor
   5. Business units tab - The units that the vendor should be available to (this allows you to have different vendors for different units)
6. Click Save
7. You have now crated a vendor. To start using the vendor, see the instructions below

Using the feature

Example:

To use the vendors, follow these steps: 

1. Locate an asset/document that you would like to send to a vendor from Produce
2. Click on the share button
3. Click on the share button for the document, or Share all if the document has more than one page (you can also share just one out of many pages), and a new window will open
4. In this window, you can either choose to add a vendor's email manually or select a pre-defined vendor (as explained in the activating the feature guide above)

5. Add info to the rest of the fields: 
6. In the form, add the following info:
   
   1. Subject - Topic of the email
   2. Message - Body of the email
7. Click Send
8. You have now sent an email with the asset/document attached to a pre-defined vendor:
